Standard Terms and Conditions for Bike Rental

These Standard Terms and Conditions apply to all bike rentals booked through Oslo Bike Tours, including rentals made through our website, by email, through contact forms, or by any other written communication.

By confirming a bike rental, paying for a rental, paying or authorising a security deposit, or collecting a bike, the customer accepts these Terms and Conditions.

1. Definitions

In these Terms and Conditions:

“Bike” means the bicycle, e-bike, premium gravel bike, long-range e-bike or other rental bike provided by Oslo Bike Tours, including all components, accessories and equipment supplied with it.

“Customer” means the person who makes the booking, enters into the rental agreement, pays or authorises payment, collects the bike, or is otherwise responsible for the rental.

“High-value bike” means a premium gravel bike.

“Rental period” means the period from pickup until the bike and all included equipment have been returned to and accepted by Oslo Bike Tours.

“Agreed pickup and return location” means the pickup and return location confirmed by Oslo Bike Tours in writing. Oslo Bike Tours normally offers pickup and return at Bogstad, Sognsvann and Oslo Central Station.

2. Key Rental Terms

For ease of reference, the most important rental terms are summarised below:

  • Pickup and return location: The agreed pickup and return location will be confirmed in writing. Oslo Bike Tours normally offers three alternative locations: Bogstad, Sognsvann and Oslo Central Station. The customer must return the bike to the agreed location unless another location has been approved by Oslo Bike Tours in writing.
  • Bike types: Gravel bikes, premium gravel bikes, e-bikes and long-range e-bikes, depending on availability.
  • Helmet: Included and strongly recommended.
  • Security deposit: NOK 10,000 per bike, or as otherwise agreed in writing between the Customer and Oslo Bike Tours.
  • Customer responsibility: The customer is responsible for the bike and included equipment from pickup until the bike and equipment are returned and accepted by Oslo Bike Tours.
  • Damage, loss or theft: The customer may be charged for repair costs, replacement costs, recovery costs, loss of rental income and other documented costs.
  • Late return: NOK 250 per commenced hour. Significant delay may result in an additional full-day rental charge, or the bike being considered stolen.
  • Cancellation: Free cancellation more than 24 hours before rental start. 100% charge less than 24 hours before rental start or in case of no-show.
  • Insurance: No personal accident, travel, theft or damage insurance is included.
  • Use: The bikes may only be used for normal road, city, gravel and forest-road cycling. Racing, jumps, downhill riding, bike parks, stunts and reckless use are not permitted.
  • Tracking and security devices: The customer must not remove, disable, damage, interfere with, attempt to locate, or tamper with any tracking device, security device, concealed compartment, identification marking or anti-theft equipment installed in or on the bike.

3. Booking and Confirmation

A rental enquiry submitted through the website or by email is not a confirmed booking.

A booking is confirmed only when Oslo Bike Tours has confirmed the following in writing, or when the bike has been released to the Customer:

  • the bike type;
  • the rental period;
  • the pickup and return time;
  • the agreed pickup and return location;
  • the price;
  • the applicable security deposit; and
  • any special terms agreed for the booking.

Oslo Bike Tours may decline a rental request at its discretion, including where suitable bikes are unavailable, weather or trail conditions are unsafe, customer information is incomplete, or the requested use is unsuitable for the bike type.

4. Prices and Payment

The rental price is the price confirmed by Oslo Bike Tours in writing.

Unless otherwise agreed, payment must be made before or at pickup. Oslo Bike Tours may require full payment in advance.

The rental price includes the bike and standard included equipment specified at the time of booking. Unless expressly agreed, the rental price does not include guide services, transport, personal insurance, travel insurance, food, drinks, route planning, rescue, roadside assistance, or delivery/pickup outside the agreed location.

5. Security Deposit

A security deposit of NOK 10,000 per bike applies to all rentals unless otherwise agreed in writing.

The security deposit may be taken as a card pre-authorisation, card charge, bank transfer, Vipps payment, or another method accepted by Oslo Bike Tours.

The security deposit may be used to cover amounts owed by the customer, including but not limited to:

  • damage to the bike (exceeding normal wear and tear from normal use);
  • damage to or loss of accessories;
  • theft or loss of the bike;
  • late return fees;
  • recovery or collection costs;
  • cleaning costs beyond normal use;
  • unpaid rental charges;
  • loss of rental income caused by late return, damage, theft or loss;
  • administrative costs reasonably incurred in connection with the above.

The security deposit is not a maximum limit on the customer’s liability. If the documented costs exceed the security deposit, Oslo Bike Tours may claim the additional amount from the customer.

Any unused part of the security deposit will be released or refunded after the bike and equipment have been returned, inspected and accepted by Oslo Bike Tours.

6. Pickup, Inspection and Customer Information

The customer must provide accurate information when booking, including name, contact details, height, rental dates, number of bikes and any relevant riding requirements.

At pickup, Oslo Bike Tours may require:

  • valid photo identification;
  • a valid payment card;
  • confirmation of contact details;
  • acceptance of these Terms and Conditions;
  • completion of a short rental form or handover checklist.

The customer must inspect the bike at pickup and notify Oslo Bike Tours immediately of any visible damage, missing equipment, or mechanical issues. Existing damage should, where practical, be documented by photo or written note before the rental begins.

If the customer collects the bike without reporting any issue, the bike and included equipment will normally be considered to have been received in good working condition.

7. Rental Period and Return

The bike must be returned at the agreed location and time.

Unless otherwise agreed in writing, the bike must be returned to the same location as pickup, or to another return location expressly confirmed by Oslo Bike Tours in writing. Oslo Bike Tours normally offers pickup and return at Bogstad, Sognsvann and Oslo Central Station.

The bike must be returned with all included equipment, including helmet, lock, charger, battery, repair kit, pump, lights or other accessories provided with the bike.

The bike should be returned in a reasonably clean condition. Normal dirt from road, gravel or forest-road use is accepted. Excessive mud, sand, oil, food/drink spills or other unusual contamination may result in a cleaning fee.

8. Late Return

The customer must contact Oslo Bike Tours immediately if they expect to be late.

Late return may result in a charge of NOK 250 per commenced hour.

If the bike is returned more than 3 hours late, after agreed closing/return time, or so late that the delay affects another booking, Oslo Bike Tours may charge an additional full-day rental fee and any documented losses caused by the delay.

If the bike is not returned within 24 hours after the agreed return time and the customer has not made acceptable arrangements with Oslo Bike Tours, the bike may be treated as missing or lost. Oslo Bike Tours may then charge the customer for replacement cost, recovery costs, loss of rental income and other documented costs.

9. Customer Requirements

The person entering into the rental agreement must be at least 18 years old.

The customer is responsible for all bikes and equipment included in the booking, including bikes used by family members, friends, colleagues or other riders in the customer’s group.

The customer must not lend, sub-rent, sell, pledge, transfer or otherwise make the bike available to any person not included in the booking without written consent from Oslo Bike Tours.

The customer confirms that each rider:

  • is capable of safely riding the selected bike type;
  • has sufficient cycling experience for the planned route and conditions;
  • understands that cycling involves inherent risks;
  • will comply with applicable traffic rules and safety requirements;
  • will ride with due care and attention.

10. Helmet and Safety Equipment

A helmet is included with the rental and is strongly recommended for all riders.

The customer is responsible for ensuring that each rider uses appropriate clothing, footwear and equipment for the planned ride, weather, terrain and season.

For rides in low light, darkness, rain, fog or poor visibility, the customer must ensure that appropriate lights and visibility equipment are used.

The customer is responsible for route choice, navigation, weather assessment, daylight planning, food, water, clothing and emergency planning.

11. Permitted Use

The bikes may be used for normal cycling on roads, cycle paths, gravel roads and suitable forest roads. The bikes must be used responsibly and within the rider’s ability.

The following uses are not permitted unless Oslo Bike Tours has given express written consent:

  • racing or competitions;
  • downhill riding;
  • bike parks;
  • jumps, drops, tricks or stunts;
  • riding on unsuitable technical trails;
  • reckless or dangerous riding;
  • riding under the influence of alcohol, drugs or medication that affects ability to ride safely;
  • carrying passengers, unless the bike is specifically designed and approved for this;
  • towing trailers or other equipment unless agreed;
  • use outside Norway;
  • commercial use;
  • courier/delivery use;
  • modification of the bike or any component;
  • tampering with brakes, gears, tyres, wheels, electronics, battery, motor or speed limitation;
  • removing, disabling, damaging, interfering with, or attempting to locate or tamper with any tracking device, security device, concealed compartment, identification marking, serial number, lock, alarm, or other anti-theft or recovery equipment installed in or on the bike.

Some bikes may contain tracking devices or other security equipment installed in concealed compartments or integrated into the bike. These devices are used for theft prevention, recovery, fleet management and customer safety. The customer must not remove, disable, damage, interfere with, attempt to locate, or tamper with any such device or compartment.

Any such tampering may be treated as serious misuse of the bike and may result in liability for repair costs, replacement costs, recovery costs, administrative costs, loss of rental income and other documented losses.

The customer must not use the bike in a way that is likely to cause damage to the bike or create danger to the rider, other road users, pedestrians, animals, property or the environment.

12. E-Bike Specific Terms

For e-bike rentals, the customer must follow all instructions given by Oslo Bike Tours regarding use, charging, storage and battery handling.

The customer must not:

  • modify, unlock or tamper with the motor, battery, speed limiter or electrical system;
  • expose the battery, charger or electrical components to unnecessary water, impact, heat or misuse;
  • use any charger other than the charger provided or approved by Oslo Bike Tours;
  • leave the battery or charger unattended in unsafe conditions;
  • continue riding if warning lights, unusual noises, battery issues or electrical faults occur.

The customer must contact Oslo Bike Tours immediately if any issue arises with the motor, battery, charger or electrical system.

13. Damage, Mechanical Issues and Punctures

The customer must stop riding and contact Oslo Bike Tours as soon as possible if:

  • the bike is damaged;
  • the bike becomes unsafe to ride;
  • the brakes, gears, wheels, tyres, frame, fork, handlebar, saddle, pedals, motor, battery or other key components appear faulty;
  • the bike is involved in a crash or impact;
  • there is any unusual noise, vibration or handling issue.

The customer must not carry out repairs or adjustments beyond basic roadside measures unless instructed or approved by Oslo Bike Tours.

Normal wear and tear from ordinary use is accepted.

The customer is responsible for damage caused by crash, impact, misuse, negligence, improper use, transport damage, riding beyond ability, riding in unsuitable terrain, failure to follow instructions, or continuing to ride after a problem has occurred.

Repairs may be charged at actual repair cost, including parts, labour, workshop fees and transport/recovery costs. If the bike cannot reasonably be repaired, the customer may be charged the replacement cost of the bike or damaged component.

14. Theft, Loss and Security

The customer is responsible for the bike and included equipment from pickup until return.

The bike must be locked securely whenever it is not in use. If a lock is provided, the customer must use it properly.

High-value bikes are subject to additional security requirements:

  • They must not be left unattended in areas where the public may access the bike or where it may otherwise be exposed to theft risk.
  • They may not be locked outside without the renter monitoring the bike — the bike must remain within the renter's sight and supervision whenever it is locked in a public or outdoor location.
  • For overnight rentals, the bike must be stored and locked indoors in a secure location without public access. It may not be left locked outdoors, in a public bike rack or in any similar unsupervised location overnight.

The customer must take reasonable precautions to prevent theft, loss and damage.

In case of theft or suspected theft, the customer must:

  • notify Oslo Bike Tours immediately;
  • report the theft to the police as soon as possible;
  • provide Oslo Bike Tours with a copy of the police report or reference number;
  • provide all relevant information about the incident.

The customer may be charged for the replacement cost of the bike and equipment, recovery costs, loss of rental income and other documented costs.

15. Accidents and Emergencies

In case of accident, injury or emergency, the customer must first ensure the safety of the rider and others and contact emergency services where necessary.

The customer must inform Oslo Bike Tours as soon as reasonably possible if the bike is involved in an accident, crash, impact, theft, attempted theft, vandalism or other incident.

The customer must not continue riding a bike that may be unsafe.

16. Cancellation and No-Show

The following cancellation policy applies unless otherwise agreed in writing:

  • More than 24 hours before rental start: free cancellation.
  • Less than 24 hours before rental start: 100% of the rental price may be charged.
  • No-show: 100% of the rental price may be charged.

A customer is considered a no-show if they do not arrive at the agreed pickup time and do not contact Oslo Bike Tours within a reasonable time.

Oslo Bike Tours may, at its discretion, offer rescheduling instead of cancellation where practical.

17. Weather and Unsafe Conditions

Cycling in Norway may involve changing weather, wet surfaces, gravel, hills, forest roads, limited mobile coverage, darkness, cold temperatures and other natural conditions.

The customer is responsible for assessing whether the planned ride is suitable for their ability, clothing, equipment and the conditions.

Ordinary rain, wind, low temperatures or typical Norwegian weather conditions do not automatically give the customer a right to refund.

Oslo Bike Tours may cancel, postpone, shorten or refuse a rental if it considers that weather, trail conditions, mechanical issues, safety concerns or other circumstances make the rental unsafe or unsuitable.

If Oslo Bike Tours cancels a rental before pickup for safety or operational reasons, the customer will normally be offered rescheduling or a refund of the rental price paid.

18. Insurance

No personal accident insurance, travel insurance, theft insurance, damage insurance or rescue insurance is included in the rental unless expressly stated in writing.

The customer is encouraged to check whether their travel insurance, personal insurance, home insurance or credit card insurance covers bike rental, damage, theft, personal injury and third-party liability.

The customer remains responsible under these Terms and Conditions regardless of whether the customer has insurance.

19. Oslo Bike Tours’ Responsibility

Oslo Bike Tours will provide a bike that is reasonably maintained and suitable for ordinary use of the relevant bike type at the time of pickup.

Oslo Bike Tours is not responsible for the customer’s route choice, riding ability, navigation, weather assessment, traffic behaviour, physical condition, clothing, personal equipment or decisions made during the rental period.

Nothing in these Terms and Conditions limits any liability that cannot legally be limited under applicable law, including liability for intentional misconduct or gross negligence.

The customer retains any mandatory rights they may have under applicable consumer protection law.

20. Customer Liability

The customer is liable for loss, theft, damage, costs and expenses arising during the rental period, except to the extent caused by Oslo Bike Tours’ own fault or circumstances for which Oslo Bike Tours is legally responsible.

The customer’s liability may include, but is not limited to:

  • repair costs;
  • replacement costs;
  • workshop labour;
  • parts;
  • transport and recovery;
  • cleaning;
  • lost accessories;
  • late return fees;
  • loss of rental income;
  • administrative costs reasonably incurred in handling damage, loss, theft or late return.

Oslo Bike Tours may deduct such amounts from the security deposit and may claim any additional documented amount from the customer.

21. Personal Data

Oslo Bike Tours may process personal data such as name, contact details, booking details, payment information, identification details and rental history for the purpose of managing bookings, payments, deposits, customer communication, safety, claims handling and legal compliance.

Personal data will be handled in accordance with applicable data protection law.

Payment card information may be processed by third-party payment providers. Oslo Bike Tours does not store full payment card details unless expressly stated and legally permitted.

22. Complaints

Any complaint must be submitted to Oslo Bike Tours as soon as possible and within a reasonable time after the issue occurred.

The complaint should include:

  • customer name;
  • booking date;
  • rental date;
  • bike type;
  • description of the issue;
  • relevant photos or documentation.

Oslo Bike Tours will seek to resolve complaints in a fair and practical manner.

23. Governing Law and Disputes

These Terms and Conditions are governed by Norwegian law.

Any dispute shall first be attempted resolved through dialogue between the customer and Oslo Bike Tours.

If the dispute cannot be resolved amicably, it may be brought before the competent Norwegian courts or relevant consumer dispute resolution bodies, subject to any mandatory rules protecting consumers.

24. Changes to These Terms

Oslo Bike Tours may update these Terms and Conditions from time to time.

The version that applies to a booking is the version accepted by the customer at the time the booking is confirmed, unless mandatory law requires otherwise.

25. Acceptance

By confirming the booking, paying the rental price, authorising or paying the security deposit, or collecting the bike, the customer confirms that they have read, understood and accepted these Terms and Conditions.
